For professionals who rely on deeper data insights, REcolorado offers the Data Export License, an add-on subscription for customers who regularly export Multiple Listing Service (MLS) data beyond the standard 500-record monthly limit. Access to this license requires authorization from your managing broker.

When is a Data Export License Needed?

A Data Export License is designed for customers whose business requires higher-volume or more frequent MLS data exports, such as:

How to Sign Up for a Data Export License

Email datalicensing@recolorado.com and request a license. In your email, please include:

Your name
Your MLS ID
The Tier you are requesting

REcolorado will send you a prepared Data Export License agreement.

Both you and your managing broker will be required to sign the agreement.

Email the completed agreement to datalicensing@recolorado.com. If you have questions, contact REcolorado by emailing datalicensing@recolorado.com.

Once processed, you will receive a confirmation email containing a separate MLS ID created specifically for your Data Export License. Important: This is a separate MLS ID used only for export activity. Your regular MLS access and permissions will not be affected.

After receiving your Data Export MLS ID, you will receive a separate email from donotreply-recolorado@cotality.com prompting you to create a password linked to your Data Export MLS ID. If you do not receive this email, please check your spam folder or contact datalicensing@recolorado.com.

Export Limits and Rolling Usage

The standard export limit is 500 records within a rolling 30-day period. Customers who need to export more than 500 records within a 30-day window must purchase a Data Export License.

Although the Data Export License is billed on a monthly cycle, export usage in Matrix is tracked using a rolling 30-day window, not by calendar month. This means exports do not reset on the first day of the month. Instead, each export becomes available again exactly 30 days after it was used. Every time you export records, those exports are counted for 30 days. On the 31st day, they are restored to your available total.

Export Examples

If you export 200 records on February 14, those 200 exports will become available again on March 16.

If you have a 500-record export limit standard with your REcolorado subscription and export:

200 records on February 1 (300 remaining exports)
150 records on February 10 (150 remaining exports)
150 records on February 20 (0 remaining exports)

Your exports will be restored in stages:

200 records will be restored on March 3 (200 exports available)
150 records will be restored on March 12 (350 exports available)
150 records will be restored on March 22 (500 exports available)

Notice that exports do not all reset at the same time; each becomes available 30 days after it is used.

If you pay for a Tier 2 Data Export License and export all 25,000 records on January 25, you will not be able to export additional records until February 24, when those 25,000 exports are restored, even though your billing cycle already renewed on February 1.

With this rolling structure, you may not have access to your full export limit at the beginning of a billing month.

Any customer who exports more than the standard 500 records per month must sign a Data Export License agreement.

Yes. There is a one-time setup fee equal to the monthly fee for the Data Export License Tier you select, applied once the agreement is processed by REcolorado. This fee covers account configuration and initial access setup.

If a Data Export License is activated on or before the 15^th of the month, it will be added to that month’s fees. If a Data Export License is activated after the 15^th, fees will begin the following month. A one-time setup fee equal to the monthly fee for a Data Export License will be applied once a signed contract is received and processed by REcolorado.

Billing Example:

If you sign up for a Tier 2 Data Export License on March 10, a setup fee of $30 will be applied once the Data Export account is activated, and you will see your first monthly license fee in March.
If you sign up for a Tier 2 Data Export License on March 20, a setup fee of $30 will be applied once the Data Export account is activated, and you will see your first monthly license fee in April.

If you upgrade from Tier 2 to Tier 3 between the 1st and the 15th of the month, the new Tier’s monthly fee of $50 will be assessed for that month. If your Tier 2 license fee has already been billed prior to upgrading, it will be credited and replaced with the Tier 3 license fee. If you upgrade after the 15th, the new Tier’s monthly fee will begin the following month.

No setup fee will be applied for upgrading from Tier 2 to Tier 3.

Billing example:

If you upgrade to Tier 3 on May 12, you will see a monthly license fee of $50 in May.
If you upgrade on May 18, you will see a monthly license fee of $50 in June.

A Data Export License is effective for a month-to-month term and will automatically renew unless the agreement is terminated.

To terminate a Data Export License, email your request to datalicensing@recolorado.com. In your email, please include your name and MLS ID. After we process your cancellation request, we will send you an email confirmation. Cancellation requests must be received at least 3 days before the end of the month; otherwise, you may be billed for the following month.

If you transfer to a new office your Data Export License will be nullified, and your export limit will revert back to 500 records until an agreement signed by you and your new managing broker is submitted to datalicensing@recolorado.com. You will not need to pay another setup fee.

Section 12.4 Downloading Restrictions: Users may not download more than 500 listings per month from the MLS. Only Participants may persistently store more than 500 listings and must submit a signed Content License Agreement and pay all applicable fees before downloading additional listings. When downloading numerous listings, Subscribers must employ appropriate security protection (such as firewalls) provided that any security measures required may not be greater than those employed by the MLS. Offenses where there have been excessive exports of data or other abusive practices are subject to fines of up to $15,000 and possible suspension of MLS access. Offenses where a username and password were shared with unauthorized user(s) for excessive exports of data or other abusive practices will be assessed a $15,000 fine and subject to immediate suspension of MLS access. Repeat Offenses will be determined by legal counsel.
