Expanded MLS Data Exports for Advanced Business Needs

We understand that most appraisers need access to more data than the 500‑record limit included in a standard REcolorado subscription. That’s why we are introducing the Data Export License, an add-on subscription that allows for greater access to MLS data. While an agreement must be signed to export more than 500 records in a 30‑day cycle, the license is available in tiers, and a fee only applies for the highest Tier, which supports exports beyond 25,000 records.

When is a Data Export License Needed?

The Data Export Licenses is designed for appraisers whose business requires higher-volume or more frequent MLS data exports, such as:

  • Advanced analytics
  • Data modeling and forecasting
  • Internal business reporting
  • Supporting downstream systems and integrations 

A Data Export License provides expanded export capacity, a scalable framework, and clear alignment with MLS policies to support your business needs.

How to Sign Up for a Data Export License

  1. Email datalicensing@recolorado.com and request a license. In your email, please include: 
  • Your name 
  • Your MLS ID 
  • The Tier you are requesting 
  1. REcolorado will send you a prepared Data Export License agreement.
  1. Both you and your managing broker will be required to sign the agreement via DocuSign. You will receive an email from DocuSign.
  2. Once processed, you will receive a confirmation email containing a separate MLS ID created specifically for your Data Export License. Important: This is a separate MLS ID used only for export activity. Your regular MLS access and permissions will not be affected. 
  1. After receiving your Data Export MLS ID, you will receive a separate email from donotreply-recolorado@cotality.com prompting you to create a password linked to your Data Export MLS ID. If you do not receive this email, please check your spam folder or contact datalicensing@recolorado.com

Export Limits and Rolling Usage

Although the Data Export License is billed on a monthly cycle, export usage in Matrix is tracked using a rolling 30-day window, not by calendar month. This means exports do not reset on the first day of the month. Instead, each export becomes available again exactly 30 days after it was used. Every time you export listings, those exports are counted for 30 days. On the 31st day, they are restored to your available total.

Listing Export Examples

If you export 10,000 listings on February 14, those 10,000 exports will become available again on March 16.

If you sign up for a Tier 2 Data Export License (25,000 record export limit) and export:

  • 10,000 listings on February 1 (15,000 remaining exports)
  • 7,500 listings on February 10 (7,500 exports remaining)
  • 7,500 listings on February 20 (0 exports remaining, limit is reached)

Your exports will be restored in stages:

  • 10,000 listings will be restored on March 3 (10,000 exports available)
  • 7,500 listings will be restored on March 12 (17,500 exports available)
  • 7,500 listings will be restored on March 22 (25,000 exports available)

Notice that exports do not all reset at the same time; each becomes available 30 days after it is used.

If you pay for a Tier 3 Data Export License and export all 75,000 listings on January 25, you will not be able to export additional listings until February 24, when those 75,000 exports are restored, even though your billing cycle already renewed on February 1.

With this rolling structure, you may not have access to your full export limit at the beginning of a billing month.

Frequently Asked Questions

An appraiser who exports more than the standard 500 listings per month must sign a Data Export License agreement.

If you request a Tier 3 Data Export License, there will be a one-time setup fee of $25, billed at the time the signed Data Export License agreement is processed. This covers account configuration and initial access setup. Appraisers requesting a Tier 2 Data Export License will not be charged a setup fee. 

If a Data Export License is activated on or before the 15th of the month, it will be added to that month’s fees. If a Data Export License is activated after the 15th, fees will begin the following month. If you sign up for a Tier 3 Data Export License, a one-time setup fee of $25 will be applied once a signed contract is received and processed by REcolorado. 

Billing Example

  • If you sign up for a Tier 3 Data Export License on March 10, a setup fee of $25 will be applied once the Data Export account is activated, and you will see your first monthly license fee in March.
  • If you sign up for a Tier 3 Data Export License on March 20, a setup fee of $25 will be applied once the Data Export account is activated, and you will see your first monthly fee in April.

If you upgrade from Tier 2 to Tier 3 between the 1st and the 15th of the month, the new tier’s monthly fee of $25 will be assessed for that month. If you upgrade after the 15th, the new tier’s monthly fee will begin the following month.

Upgrading from Tier 2 to Tier 3 will require a one-time setup fee of $25 and will be applied once the new Tier is activated. 

Billing example:

  • If you upgrade to Tier 3 on May 12, you will see a one-time setup fee of $25, and a monthly license fee of $25 in May.
  • If you upgrade on May 18, you will see a one-time setup fee of $25 in May, and a monthly license fee of $25 in June. 

A Data Export License is effective for a month-to-month term and will automatically renew unless the agreement is terminated.

To terminate a Data Export License, email your request to datalicensing@recolorado.com. In your email, please include your name and MLS ID. 
After we process your cancellation request we will send you an email confirmation. Cancellation requests must be received at least 3 days before the end of the month; otherwise, you may be billed for the following month. 

Section 12.4 Downloading Restrictions: Users may not download more than 500 listings per month from the MLS. Only Participants may persistently store more than 500 listings and must submit a signed Content License Agreement and pay all applicable fees before downloading additional listings. When downloading numerous listings, Subscribers must employ appropriate security protection (such as firewalls) provided that any security measures required may not be greater than those employed by the MLS. Offenses where there have been excessive exports of data or other abusive practices are subject to fines of up to $15,000 and possible suspension of MLS access. Offenses where a username and password were shared with unauthorized user(s) for excessive exports of data or other abusive practices will be assessed a $15,000 fine and subject to immediate suspension of MLS access. Repeat Offenses will be determined by legal counsel.

The export limit is designed to balance customer needs with data protection and system performance. MLS data is proprietary, and limiting exports helps safeguard listings, agent information, and other sensitive content from misuse or unauthorized redistribution. The limit also ensures that the system remains stable and reliable for all users, preventing large-scale downloads from affecting performance.  

The Data Export License is billed on a monthly cycle. However, export availability is tracked using a rolling 30-day window in Matrix. Each export becomes available again 30 days after it is used. For example, if a customer exports 1,000 records on February 14, those 1,000 exports will be restored on March 16. While a customer’s monthly export limit remains the same, exports do not automatically reset on the first of the month. Because of this rolling structure, customers may not have access to their full export limit at the start of a billing cycle. 

The standard REcolorado export tools will likely meet the occasional download needs of a customer. The monthly limits in the Data Export License are designed for higher-volume or frequent exports. Customers who export just a few listings at a time won’t be affected and can continue using the system as usual.
